The Request Letter Access page allows you to request access to one or more letters (Demand or Defense) issued by the Commercial Repayment Center (CRC) and not currently available on the CRCP. Once associated, you can access the letters through the Demand Listing pages, as applicable.
More About Requesting Letter Access
The CRCP connects information in letters you have received from the CRC with your account ID when the account is first established. If you cannot find information for a Demand or Defense letter on your CRCP account, you can request access to this data via the Request Letter Access process.
Note: If you mistakenly associate letter information with the incorrect account, your Account Manager (AM) will need to contact an Electronic Data Interchange (EDI) Representative at (646) 458-6740 to disassociate the information.
Before requesting letter access, first ensure that you are in the correct CRCP account if you are associated with more than one account. The account ID is listed at the top of the Demand Listing page. Click Previous to return to the Account Detail page where you can verify the company name and/or Tax Identification Number (TIN) information. Next, confirm that the letter is not currently available on your account by searching the Demand Listing page. The CRCP will only list demands that were issued in the last three months (by default).
Note: If Go Paperless is selected for an account, all TINs associated with the account will also be paperless. If a user has multiple employer or insurer debtors (“party IDs”) associated with the same TIN, CRCP does not associate every party with the account when the user requests letter access, only the party for the letter ID entered from the demand letter. Therefore, parties with the same TIN as the account do not automatically go paperless when the account goes paperless. To reconcile, users will need to select the Request Letter Access option for each party using the information from the demand letter(s). Once done, future letters addressed to this party will be paperless.
To Request Letter Access
- Enter (and re-enter) the letter ID of the letter you want to associate with your account in the Letter ID and Re-Enter Letter ID fields. Click the Entry Hint link to get additional details.
- Enter the 9-digit Tax Identification Number (TIN) corresponding to the TIN included in the letter.
- Select the letter type that corresponds to the letter you are requesting access to using the radio buttons. The options include:
- Defense Letter
- Demand Letter
- For the letter type, enter the required key information. You can find all key information in the "Regarding" section of these letters. Click the Entry Hint link to get additional details.
- Defense Letter: Enter the Case ID associated with the Defense Letter.
The Case ID is a 17-byte alpha-numeric field, which may begin with a "C". (Note: Enter the “C” with no dash.) No other special characters are allowed. - Demand Letter: Enter the Total Debt Due for the Demand (both dollars and cents).
The Total Debt Due is defined as a 9-byte numeric dollar amount field and a 2-byte cent field. Enter this amount exactly as it appears on your letter. Do not include the dollar ($) sign or decimal point. Enter "00" in the cents field if there are no cents.
- Defense Letter: Enter the Case ID associated with the Defense Letter.
- Click Continue to continue to the next step, or click Cancel to cancel your request and return to the Account Detail page.
When the information entered on this page can be validated by the CRCP, the Request Letter Access Verification displays where you will confirm that you want to associate information from the displayed Letter ID, as well as information from all related letters, with the Account ID noted.
Note: The CRCP will only allow three attempts in a single session to perform a successful letter access request with valid data entries. After the third failed attempt, an error message is shown. Clicking OK on the message returns you to the Request Letter Access page with all information intact.
